Solis
School Management Platform
Terms of Use and End-User Licence Agreement · Effective date: 2 September 2026

1. About Solis

Solis is school-management software operated in the United Kingdom. These terms govern use of Solis by schools and by individuals — staff, teachers and, where applicable, parents — who access it on a school's behalf.

Any question about these terms can be sent to hello@solisapp.co.uk.

2. Acceptance

By using Solis, the authorised user and the school they represent agree to these terms. If you do not agree, you should not use the service.

3. Licence

Solis grants each school and its authorised users a limited, non-exclusive, non-transferable right to use the software for their own authorised school-management purposes. No ownership of the Solis software transfers to any customer or user; Solis is provided as a service, not sold.

4. Accounts

Users must:

  • use only accounts they have been authorised to use
  • keep their login credentials secure
  • not share accounts inappropriately
  • notify Solis promptly of any suspected compromise of their account

5. School responsibility

The school using Solis is responsible for:

  • the accuracy and lawfulness of the information it enters into Solis
  • deciding who is authorised to access its own school's data within Solis
  • its own communications with parents, students and staff
  • reviewing financial and accounting information before relying on it
  • configuring any integrations (such as QuickBooks, Xero, FreeAgent or Stripe) appropriately for its own needs

6. Acceptable use

Users must not:

  • use Solis unlawfully
  • attempt to gain unauthorised access to any account, school or system
  • attempt to bypass tenant separation or other security controls
  • upload or introduce malicious code
  • interfere with the operation of the service
  • scrape or reverse-engineer Solis, except where the law expressly permits it
  • use Solis to violate another person's rights

7. Third-party integrations

Optional features may connect Solis to third-party services, including QuickBooks, Xero, FreeAgent, Stripe, Resend and Anthropic. Those services operate under their own terms and their own availability, and Solis does not control them.

8. QuickBooks, Xero, FreeAgent and accounting

Where enabled, Solis assists with creating and synchronising accounting information with the accounting system a school connects — QuickBooks, Xero or FreeAgent. Solis is not an accountant, tax adviser or financial adviser, and users remain responsible for checking their accounting records for accuracy. The connected accounting system (QuickBooks, Xero or FreeAgent) remains the external system of record for accounting where that integration is used.

9. Payments

Solis may facilitate payment flows powered by Stripe. Card payments for a school's invoices and event tickets are made to the school's own Stripe account, and the school is the merchant. Solis does not itself act as the payment processor and does not itself hold customers' card details or card funds.

10. AI

Solis includes optional AI-generated features. AI-generated outputs may contain mistakes. Users must review AI-generated material before relying on it or sending it to anyone else. AI features are provided as an aid, not as a guaranteed-accurate output.

11. Availability and change

Solis may evolve over time — features may be added, changed or removed, and there may be periods of downtime, including for maintenance. Solis does not guarantee uninterrupted availability of the service.

12. Customer data

Data entered into Solis by or about a school remains that school's data. How that data is used is governed by the Privacy Policy and any applicable data-processing arrangement between Solis and the school.

13. Intellectual property

The Solis application, code and design remain owned by its operator/licensor. Any customer logos, names or content uploaded by a school remain the property of that school.

14. Suspension and termination

Access to Solis may be suspended where reasonably necessary for security, to address misuse, to comply with a legal requirement, or in response to a material breach of these terms. A school may stop using Solis at any time. Commercial and subscription terms (such as cancellation of any paid plan) are not yet finalised and will be set out separately once available.

15. Liability

Nothing in these terms excludes or limits liability that cannot lawfully be excluded or limited. Subject to that, Solis is provided on the basis that schools remain responsible for maintaining their own appropriate records and backups, and for reviewing material financial outputs (such as invoices and accounting figures) before relying on them.

16. Governing law

These terms are governed by the law of England and Wales.

17. Contact

Questions about these terms can be sent to hello@solisapp.co.uk.
